  • Does it cost anything to sign up?
Absolutely! We take great pride in ensuring our agents experience a seamless and efficient onboarding process, laying the foundation for a successful partnership. Our onboarding fee reflects the care and effort we put into: Setting up agent accounts in our system for smooth operations. Designing custom email signatures to enhance professionalism. Crafting tailored review link templates to boost client feedback. Documenting preferred vendors for quick and easy access during intake. Beyond these tangible benefits, the onboarding fee symbolizes a mutual commitment. We value working with team players who recognize the incredible opportunity our services provide—to streamline operations and help agents close more deals. At WPF Services, our success is built on partnerships with agents who share our drive for growth and excellence!
  • Do I get the same TC every time I send a new file?
Absolutely! Once you're onboarded you will receive an introductory email with your assigned TC contact information, photo & bio. Upon onboarding you can expect to receive a call from your assigned TC within 24 hours. If and when your assigned TC is out on vacation we have other members of our team that will cover for them so that your files are never left untouched. We do have a listing and leasing specialist that only works those kinds of files, so your assigned TC will be with you for all contract to close transactions. Keep in mind we do have a listing specialist who is separate from our assigned TC.
  • How do I pay?
There are a few ways to pay. If your office offers a DA/CDA oftentimes it's an option for us to be on it. Since we are usually the ones filling this out on your behalf, it takes zero additional steps to pay us! If your brokerage does not offer that option you can pay through zelle or check. For an additional $15 we do accept credit cards.
  • I'm a control freak, how do I trust someone with this much responsibility in my business?
Boy do I have some good news for you! WE ARE CONTROL FREAKS TOO. But let's say you don't have the trust part down yet. Your TC will CC you on all communications. This way you can pop in at any time and direct the TC or your client. Eventually you might get overwhelmed by the amount of communication in which case you can cut the cord and let your TC to only CC you on things that require your attention or response.
  • When do you as the TC get involved in the transaction?
For the contract to close service the TC gets involved once the contract is executed. So once you submit the intake sheet and provide the executed contract we can then process the file and get intro's out. How would one send out intro's with the timelines if we don't have a fully executed/binding agreement? You'd be surprised! Same is true for listing input. Once you have a fully executed listing agreement you can submit your request on the website and we'll get to work.
  • Do you draft contracts?
We do assist in offer prep, BBA prep and listing agreement prep. However these services are only available during regular business hours.
  • What if the deal doesn't close?
GREAT QUESTION! We work with the philosophy "we get paid if you get paid", unless of course you'd like extra support on the file after it's terminated. If you would like your TC to send out the cancelation, circulate the executed documents and ensure the earnest money is returned in a timely manner... we've got your back. We offer this service for $75 however it's completely up to you and is not a required service. If you have the listing side, with this service, we'll also ensure your mls is adjusted back to active and recognize your paperwork so the future contract doesn't get mixed with the old.
  • What are some benefits of hiring a transaction coordinator?
Where do I begin! I'd say the biggest benefit to hiring a transaction coordinator is having the opportunity to partner with a real estate professional who requires no time to train, no health benefits to be paid out, no overhead of any kind. Not only will a transaction coordinator keep your paperwork organized and ensure you never miss a deadline but they will eventually become the eyes in the back of your head, pinpointing issues before they happen to save you and your clients headaches.
  • Do you offer bilingual TC services?
Yes! Our TC Johanna is bilingual in English and Spanish.
  • How do I go about hiring a transaction coordinator?
Just schedule a consultation call to kick off the process. We ask all agents looking to partner with us to complete this consultation so we can align our expectations and better understand their goals, challenges, and more.
  • How do I get paired with my transaction coordinator and can I request someone specific?
It varies! We pair agents with transaction coordinators (TC) based on factors like agent volume, personality fit, area expertise and more. While you can certainly request a specific TC, we can't always guarantee that request due to their current workload. Our primary focus is always on quality over quantity.
  • What happens if I need a document drafted over the weekend or outside of business hours?
Our team is available Monday through Friday from 9 AM to 5 PM in their respective time zones. As a realtor, you’re in a lucrative position, and we’re here to support you! If a document needs immediate attention and can’t wait until the next business day, don’t hesitate to send it out. Just let your TC know so they can follow up on it. We appreciate your communication, as we can only address what we’re made aware of.
  • What if I’m having issues with my assigned TC?
If you're having issues with your assigned transaction coordinator, we encourage you to provide direct feedback to them first. Remember, we can only address what we're made aware of. If the situation doesn’t improve, feel free to contact the regional leader to discuss a potential reassignment. Our team prioritized feedback, so please do not hesitate to share.
  • Are your TC’s licensed?
Our transaction coordinators are generally not licensed in the states where they handle files, and this is a deliberate choice for several reasons. First, we want to avoid crossing the line into acting as the agent in any transaction, always adhering to state laws to ensure we don’t violate licensing regulations. Second, being licensed would restrict our ability to serve multiple agents across various brokerages. Our mission is to assist as many agents as possible in finding leverage and balance in their lives.
